Personal Information Protection Principles

SOFTBANK TELECOM Corp. (hereinafter called “SOFTBANK TELECOM”) works for implementation of the following matters to ensure full compliance with guidelines concerning Personal Information protection set out by the regulatory authorities such as “Personal Information Protection Act” (30 May 2003 Law No. 57) or “Guideline Concerning Protection of Personal Information in Telecommunications Business” and “Personal information protection management systems - Requirements” (JISQ15001) as well as to protect Personal Information.

1. Reinforcement of employee education

SOFTBANK TELECOM will prepare learning material concerning the protection of personal information, distribute it to all of SOFTBANK TELECOM's regular and temporary employees and implement training at least once a year for all regular and temporary employees handling personal information.

2. Enforcement of internal rules concerning the protection of personal information

SOFTBANK TELECOM will enforce internal rules concerning the protection of personal information, clarify the guidelines for handling personal information and take strict actions to prevent leakage of personal information.

3. Appointment and empowerment of a “Chief Privacy Officer”

SOFTBANK TELECOM will appoint the supervisor of Information Security Management as the “Chief Privacy Officer”. The “Chief Privacy Officer” will obey the law and guidelines, establish internal rules, improve the audit system, establish and maintain a system that clearly shows his duties, and implement any other necessary actions concerning the handling of personal information.

4. Implementation of information security

To prevent leakage or loss of personal information and for the safe control of personal information, SOFTBANK TELECOM will implement necessary steps such as access control, control over taking out personal information and prevention of external illegal access to protect personal information.

5. Outsourced operations

  1. (1)Outsource, in some cases, all or part of its Personal Information handling operations in sales of various services, response to customers' inquiries, facility maintenance, tariff-related works, marketing tasks and other related works.
  2. (2)Fully examine the eligibility of outsourcing agents when concluding outsourcing agreements. Further, set out safety management measures, confidentiality, terms of subcontract and proper handling of Personal Information in such outsourcing agreements and oversee SOFTBANK TELECOM's outsourcing agents in an appropriate manner by regularly monitoring outsourced operations.
    In addition, SOFTBANK TELECOM complies with Article 4 of the Telecommunication Business Law concerning the secrecy of communication and other relevant regulations when providing third parties including outsourcing agents with telecommunication subscribers' information for those outsourced operations.
  3. (3)Use Personal Information provided by an outsourcer in association with the acceptance of outsourced operations to the extent necessary for the purpose of the agreement with such outsourcer.

6. Enhancement and maintenance of the audit system

To ensure that the protection of personal information is handled appropriately, SOFTBANK TELECOM will maintain an internal audit system.
Furthermore, SOFTBANK TELECOM considers audits using an access log as an effective method for early detection of attempts to leak personal information and as a deterrent effect leading to the prevention of personal information leakage and SOFTBANK TELECOM will study how to implement such audits.

7. Proper collection, use, provision and announcement of personal information

Legally and fairly obtain Personal Information by means of application forms, web site or verbal explanation upon clarifying the purpose of use of such Personal Information. Properly use, provide and announce Personal Information by considering details and a scale of business.

8. Continuous improvement in the protection of personal information

SOFTBANK TELECOM will continuously review and improve the protection of personal information for the above activities 1 through 7.

9. Revisions

SOFTBANK TELECOM may revise all or a part of the present "Action Guidelines for Protecting Personal Information." SOFTBANK TELECOM will announce any material changes on its Web site in an easily comprehensible manner as necessary.

  • "Personal Information" used in this "Action Guidelines for Protecting Personal Information" means any information regarding an individual including name, birth date or any other description, a number assigned to an individual, or any other codes, image or voice that can identify a particular individual (including information that alone cannot serve as identifying information but can identify a particular individual by cross-checking with other information), regardless of whether it belongs to a customer of SOFTBANK TELECOM, an employee of a SOFTBANK TELECOM subcontractor or an employee of SOFTBANK TELECOM. This "Action Guidelines for Protecting Personal Information" shall apply to all of the personal information that SOFTBANK TELECOM possesses unless otherwise specified.

Supplementary provisions

  • This Personal Information Protection Principles shall be enforced from March 22, 2005.
